When I Use Zapier
Zapier is often a strong fit for straightforward business automations where supported applications already provide the actions and triggers required. It is useful when the priority is fast implementation, managed infrastructure and easy visibility for non-technical teams.
I also extend Zapier with webhooks and API calls when a workflow needs a small amount of custom integration logic.
When I Use n8n
n8n is useful for workflows that need more branching, data manipulation, API calls, custom code, reusable logic or greater control over how the automation runs. It can be a better fit for technical workflows and higher-complexity integrations.
The choice is based on the workflow, existing stack, maintenance needs and cost structure—not on forcing every project into one automation platform.
Automation + GoHighLevel
I frequently use automation tools alongside GoHighLevel when GHL needs to exchange data with an external platform, run a process outside its native workflow builder or connect with a custom application.
For example, a workflow may receive a webhook, enrich or transform the data, call an external API and then update the appropriate contact or opportunity in GoHighLevel.
Automation + Custom APIs
Some processes are better handled through a direct API integration rather than a long no-code workflow. I can combine both approaches: use n8n or Zapier for orchestration and custom code for the parts that require deeper control, security, performance or complex business rules.
This keeps the automation practical without making a no-code tool responsible for work it was not designed to do.
